1. Who we are
MailInBrief is operated by 途似锦(厦门)电子商务有限公司 (registered address: Unit 605, No. 11 Duiying Road, Jimei District, Xiamen, China; “we”, “us”). This policy explains how we collect, use, store and protect information when your company uses the MailInBrief service. 2. What information we process
- Account information: administrator name, login email address, and the login password stored in encrypted form.
- Mailbox connection credentials: the address of each company mailbox you authorise and its IMAP password or app password. Credentials are stored encrypted; no page, log or member of staff can view them in plain text.
- Email data: the message headers (sender, recipients, time, subject), bodies and necessary excerpts required for business analysis, the business facts and AI analysis results derived from them, and the history of business matters.
- Usage logs: login records, action audit records and system operation logs.
We connect to your mailbox over IMAP in read-only mode: we do not send, delete, mark as read or move any email, and we do not change anything in your mailbox.
3. How we use this information
- To identify business facts such as new enquiries, order updates and customers needing follow-up, and to build your business dashboard;
- Email content that meets the analysis criteria is submitted to the Qwen large language model on Alibaba Cloud Model Studio for business-relevance and intent analysis. This processing takes place in mainland China; Alibaba Cloud acts as an entrusted processor bound by confidentiality obligations under its service agreement;
- We do not use your email data for any other purpose, do not use it to train any model, and do not sell or share it with any third party.
4. Where and how long data is stored
- All data is stored on servers located in mainland China (the People's Republic of China) and is not transferred outside it;
- Email data and analysis results are retained for the duration of the service so that business matters can be presented continuously;
- Encrypted backups are rotated according to a fixed retention period (currently 7 days).
5. Your rights
- Disconnect: you can disconnect a mailbox from Settings at any time; its connection credentials are deleted when you do;
- Access and correction: you can view and correct account information and the business classification results;
- Deletion: you can request deletion of all of your organisation's data. Live data is removed immediately; copies in encrypted backups expire with the backup retention period;
- Requests can be made through the product or by emailing support@mailinbrief.com, and will be handled within the statutory period.
6. Data security
- Mailbox passwords and other credentials are stored separately in encrypted form;
- Data is strictly isolated between tenants; any cross-tenant access is rejected server-side and recorded;
- Key actions are fully audited;
- Data in transit is protected with TLS.
We make no claims of security certification that have not been independently verified. Should a security incident occur that may affect your rights, we will notify you promptly as required by law.
7. Minors
The service is provided to business users and is not directed at minors.
8. Changes to this policy
When this policy is updated, the new version and its effective date will be published on this page; material changes will also be notified in the product or by email.
